Administrative Assistant Job Description

On behalf of our client, a leader in the residential and commercial security business, we are seeking an administrative assistant to work in a fast-paced, entrepreneurial environment.

You are a highly motivated, well-organized, detailed-orientated administrative person with strong communication skills that thrives on taking on new challenges that utilize your diverse skills. Reporting directly to our Manager of Administration, you will become a highly valued and integral member of our client’s team.   2. A team player that is highly motivated to serve our customers, is willing to tackle any project with enthusiasm, has excellent organizational skills and has outstanding attention to detail.
  3. Excellent communications skills, both written and verbal.
  4. A minimum of one year of experience in an administrative role coupled with formal training and education in administration.
  5. Above average knowledge and experience with common Microsoft Office and database software programs.
  6. A quick study with the ability to work independently.
  7. Proven track record of completing projects accurately and on time.

Principal Duties and Responsibilities:

  1. As the first point of contact for our customers, present yourself professionally and appropriately as the “ambassador” of our company.
  2. Receive all phone calls in a professional manner, while ensuring timely follow up.
  3. Assistance in updating various security monitoring databases.
  4. Performing banking duties.
  5. Preparing job paperwork including preparing customer files.
  6. Assistance to the Manager of Administration and other team members in preparing quotes, billings, reviewing work orders, helping with accounts receivable while ensuring that our quality control processes are followed.
  7. Other administrative duties include: photocopying and faxing; ordering office supplies; organizing mail; arranging courier pick-ups; contacting customers as necessary; documenting the office procedures in an office policies and procedures manual; and assisting other team members in serving customers.
  8. Working closely with the Manager of Administration to ensure that all administrative tasks are performed on a timely basis.
